OVA Card Policy

This policy explains how an OVA Card works, and what OVA EXPERIENCE does with the names, phone numbers, and messages attached to it.

Who we are

OVA EXPERIENCE operates OVA Card for events in Tanzania, including Dar es Salaam, Arusha, Dodoma, and Zanzibar. The public site is ovaexp.com. For a question about a card, write to [email protected] or WhatsApp +255 653 980 892.

What an OVA Card is

An OVA Card is a digital invitation or admission card for one event. It may be a Single, Double, or VIP card, or an e-ticket. A card can carry a guest name, a seat or table, how many people it admits, and a QR code for the gate. A Double card can be checked in once for each person, so the count moves from 2 to 1 to 0.

The host, family committee, or company that booked the event decides who receives a card. For a harusi, a card may stay locked until the agreed mchango is complete. OVA EXPERIENCE issues the card on that instruction. We do not sell cards to the general public as tickets unless that event’s box office is ours to run.

Information on a card

Depending on the event, a card and its ledger may include:

The QR code is an identifier for that card. Showing it to the gate is the guest’s consent to be checked in.

WhatsApp

OVA EXPERIENCE uses WhatsApp to deliver cards, reminders, and shukrani, and to receive replies. If you message us, we receive the phone number, the message, and the time it was sent. We use that only to operate the event you are part of, to answer you, and to keep the card ledger accurate.

We do not use your WhatsApp messages to advertise unrelated products. We do not sell guest lists.

Who can see a card

The event owner and the people they appoint can see the cards for that event. That may include the kamati (Mwenyekiti, Katibu, Hazina), a corporate taskforce, or the gate team on the night. A vendor sees only the contract that concerns them. A guest can be told the status of their own card. We share a card with a payment provider only as far as needed to confirm a mobile-money payment the guest or host initiated.

How long we keep it

We keep the card list for the life of the event and for the financial close, including Kuvunja Kamati where the host asks for it. After that, we keep the record only as long as the host needs it for a dispute, a refund, or an audit, and then we delete it or remove the personal details. You can ask us to delete your card details earlier if the event owner agrees, or if keeping them is no longer required for the gate, a payment, or the law.

Ask us to delete or correct a card

Send the event name, your name, and the phone number on the card to [email protected] or WhatsApp +255 653 980 892. Ask us to correct the record or delete it. We will confirm what was done. If the host must approve the change because the card is part of their guest list or their accounts, we will tell you that.

Security

Cards are issued per event. A card that is not fully qualified is not released. Gate staff see only what they need to admit the guest. Do not forward a QR card if you do not want someone else to use that seat.

Changes

If this policy changes, the new version will replace this page and the date at the top will change. The policy that applied when your card was issued still describes how that event’s list was handled.
