01 — THREE PILLARS
One desk. Three ways Tanzania gathers.
Choose the room you are planning. The workflow, the preview, and the rules change with it — harusi committees, corporate protocol, or a festival box office.
PRE-EVENT
Concept, room flow, and the sponsor ladder — Platinum and Gold — are packaged before a single booth is drawn. Exhibition mabanda sit on a floorplan. Proforma and TRA EFD invoicing carry withholding tax on the schedule.
PROTOCOL & PROCUREMENT
Venues and AV are engaged on formal LPOs. Government and VIP protocol is a seating matrix plus a speech order, with the Mgeni Rasmi placed before the room is set.
ON-SITE & POST-EVENT
Arrival prints a thermal lanyard in about three seconds. Breakout rooms scan sessions. CPD points can be tracked for ERB, NBAA, and medical councils. NGO posho is disbursed to mobile money, and participation certificates leave as PDFs.
PRE-EVENT
Artist fees sit in escrow: 50% deposit, 50% before the stage. Permits are a checklist — BASATA, Police, Municipal Council — and every brand sponsor has a deliverable with a due time.
BOX OFFICE
Tickets move in waves: Early Bird, Advance, Gate, VIP, and VVIP sofa with bottle service. Checkout is a USSD push to mobile money. Influencer codes split commission on their own, without a spreadsheet after midnight.
GATE & SETTLEMENT
The gate validates a QR in under 500 milliseconds and keeps working offline. RFID or Tyvek wristbands pair to the ticket. Bars run on token wallets. Box office settlement is prepared for the morning after, T+1.

Six stages. We stay in the room for all of them — committee or taskforce, money in, vendors, invitations, the gate, and the audit.
01 · STRATEGY & COMMITTEE / TEAM SETUP
Name the people who can decide.
For a harusi, the first kikao names the Mwenyekiti, Katibu, and Hazina, and lines up familia with posa. For a summit or gala, the same hour seats a taskforce, a protocol owner, and a run-of-show. Nothing is procured until that room exists.
02 · FINANCIAL ENGINE
Pledges, sponsors, or a box office.
Michango splits into ahadi and taslimu, reconciled to Lipa Namba. Corporate work uses sponsorship tiers and invoicing. A festival uses ticket waves. Three doors, one ledger, so the Hazina and the finance office are never guessing.
03 · CURATED VENDOR CONTRACTING
Hire the bench. Pay the milestones.
Halls, MCs, decor, caterers, AV, and security come from a vetted Tanzanian network. Budgets can sit with sub-committees — Ukumbi, MC, Mapambo, Chakula, Keki. Payouts follow delivery: deposit, mid-build, completion.
04 · SMART INVITATIONS & ACCREDITATION
The card is the permission.
WhatsApp QR e-cards carry Single, Double, and VIP quotas. A guest without a full mchango does not receive one. Corporate desks publish the Mgeni Rasmi seating matrix. Concerts issue e-tickets and promo codes with the commission already split.
05 · FLAWLESS EXECUTION & GATE CONTROL
The door knows who is still outside.
Producers run the floor. A double card checks in partially, so a couple can arrive an hour apart: 2, then 1, then 0. Delegates collect a thermal badge. Festival gates keep validating if the network drops.
06 · THANKSGIVING & FINANCIAL CLOSURE
Shukrani, then the balance.
Thank-you messages leave by SMS and WhatsApp while the night is still warm. Sponsors receive a plain ROI note. The committee closes with Kuvunja Kamati: every shilling in, every shilling out, in a report the Hazina can read aloud.
